Review of 2025 Board of Directors Process & Timeline

Delegation of Duties to Dorchester Real Estate Services
Reviewed the formal resolution and ratification of the management delegation agreement with Dorchester Real Estate Services. The executed contract is on file and was circulated for review.
Grounds Maintenance Contract Review
Reviewed the executed agreement and resolution for the Grounds Maintenance Contract.
Safety Statement and Community Concerns
Addressed the spread of misinformation via unofficial social media platforms.
Due to escalating disputes, all door-to-door association deliveries are suspended, effective immediately.
The Board proposes moving to electronic communication through the official Association website, pending a membership vote.
Residents are directed to call 911 for emergencies and the Dorchester County Sheriff’s Department non-emergency line for other concerns.
All covenant and restriction violations should be reported directly to Dorchester Real Estate Services.

Amendment to Treasurer Duties in the By-Laws
Amendment to Secretary Duties in the By-Laws
Annual Dues Increase from $75 to $125 with subsequent annual increases through 2029.
Amendment to allow for online voting
Additional Agenda Items to Include:
Vice President Vacancy – Nominations will be accepted from the floor
President Clay Rogers will provide a report on warnings and fines issued by the Association.
Infrastructure Update
The contract to complete the Pump Station Fencing Project has been signed and work will proceed.
Social & Recreation Budget Reimbursement
A total of $450.52 worth of items were purchased for the BCA Easter in the Park event. The items were purchased by a community representative with the expectation of being reimbursed by the board. The community member was reimbursed the total amount.
Of the items purchased, $142.91 worth were items that could be stored in the BCA inventory and reused for future events. These items are documented in the BCA Inventory.
The remaining $307.61 worth of items were either perishable or religious items. These items were purchased from BCA by the president and then vice president. Payment for these items was delivered to DRES and recorded.
The total next expenditure to the events and social budget line was $142.91.
Unofficial Social Media Pages
The Board will issue notices demanding immediate cessation of unofficial social media pages or groups claiming to represent BCA.
All members are encouraged to follow the official social media channels outlined on the BCA website.
Newsletter
Due to lack of budget, the May newsletter will be the final printed issue.
It will include the details for the upcoming regularly scheduled monthly meeting and an upcoming special membership meeting. It will also include a membership vote notice for proposed changes to the By-Laws and the official absentee/proxy ballot.
Future newsletters will be distributed electronically.
Welcome Committee
Gail McCampbell and Maryann Snell will deliver welcome pamphlets to new residents. *This was edited on 5.15.25 to remove an inaccurate statement
Yard of the Month
The program is reinstated.
Nominations may be submitted via the official BCA website and Facebook page by the third Saturday of the month.
